    Minutes of the Executive committee Meeting of SSM Nagar Flat owners Association held on 21st Jan 2024 at 4;15 p.m. Annie Besant Park, SSM Nagar, Alapakkam,
    Chennai-600 063.

    The EC meeting which was supposed to be conducted II Sunday of Every month was postponed to third Sunday due to Pongal holidays.

    The Secretary welcomed members to the meeting and proceedings started by 4.15. Discussion was held on among members present on various matters/ issues, agreed upon plan of action and the same are listed below:-

    1. A lawyer practicing in Chennai High Court has been chosen to quash the FIR filed against some of the existing and earlier office bearers of our Association. All
      Necessary documents and evidence to quash the case has been handed over to him.
    2. New Year Income and Expenses statement was read out to members and EC has unanimously approved the same.
    3. Executive committee appreciated all those who are involved the New year Celebrations for their hard work and Team work and also for generating an additional revenue to SSMNFOA through Donations received from Sponsors.
    4. It is also resolved to take up issues of water logging in the open canal on MG road (with Nedungundram panchayat), and to address the issue of mosquitos breeding on stagnated water. There are several cases of Dengue fever reported in the Nagar as a result of poor sanitation.
    5. It has been decided to instruct RERA lawyer to proceed further with legal actions pertaining to Builder’s non-compliance of RERA Execution petition verdict.
    6. It has been resolved to celebrate Our Nation’s 75th Republic Day at SSM Nagar Mother Teresa Park on 26th Jan 2024.
    7. Members have been requested to take and send pictures of various unfinished construction work for filing EP in RERA on Pending Amenities.
    8. It has been resolved to strengthen our Association by conducting New Membership enrollment drive and Renewal of existing membership on weekends
    9. The Initiative of fixing CCTV camera for better safety and security, covering the Dust bin Area with a wire mesh door to keep away stray dogs at A-14 block was much appreciated by EC and few members shown interest in implementing the same in their blocks.

    Minutes of the Executive committee meeting of SSM Nagar Flat owners Association held on 11th Feb 2024 [08.30 AM] at Annie Besant Park, SSM Nagar, Alapakkam,
    Chennai – 600 063.

    The Secretary welcomed members to the meeting and proceedings started by 8.30 AM. Discussion was held on among members present on various matters/ issues, agreed upon plan of action and the same are listed below:-

    1. The Secretary read out the minutes of the meeting held in January 23 to members and reviewed the actions taken.
    2. As proposed in the previous meeting for appointment of a legal adviser to the Association, Mr. Palani Kumar a practicing advocate in Sadanandhapuram. EC authorized Secretary and President to negotiate and propose Annual retainership fee in next EC Meeting.
    3. SSM Builders continue to overlook the directions of the authorities’, pollution control norms and refuse to implement the RERA Court directions. The members of this Association is dissatisfied with the maintenance service provided by SSM Builders. The maintenance staff also refuses to act on the problems highlighted by the residents. It results in frequent quarrels. In order to make the SSM builders do proper services as a “Maintenance Service Provider” it was decided to register complaints through letters and emails before the Commissioner of Police, Assistant Commissioner of Police, District Collector, Pollution Control Board and National Green Tribunal.
      • During the week we are going to present a petition to the District Collector on pollution and sanitation issues in and around SSM Nagar during Manu Neethi Nall going to be held on 14th Feb 2024 at Nedungundrm Panchayat.
      • A petition to NGT on the failure to fulfill the commitments given to and conditions laid down by the SEIAA-TN for giving Environmental Clearance certificate to SSM Builders.
    4. Water stagnation and Mosquitoes menace: As a short term measure we have taken up with Nedungundrm Panchayat and arranged to pump out sewage water stagnated by tankers and chemical fogging in evenings to control mosquitoes.
    5. A storm water drain is planned by Nedungundrum Panchayat from Alapakkam on side of Vivekananda Road (i.e from Alapakkam Main Road – SSM Nagar — Mahatma Gandhi Road) A meeting is planned with all resident Associations along this route and examine the technical details/ drawing of storm water rain project. Discuss with Panchayat seek assurance from Panchayat that nobody lets in sewage water in storm water drain and that storm water drain is terminated beyond SSM Nagar.
    6. The Secretary explained the proposal and invite received from SSM Nagar Maintenance Society(“the Society”) regarding taking over maintenance from SSM Builders. SSM maintenance society informed us that the Builder has invited Secretary for discussion as the Builder showed willingness to handover maintenance to Society and the Builder wanted our consent.
    7. Members vehemently opposed the proposal stating that there was no invite from SSM Builders and this proposal is only a trap laid by SSM Builders to sabotage the victory of the SSMNFOA in RERA case and avoid compliance with RERA verdict. All members insisted to pursue the issue legally in courts and not to enter into any discussion unless the SSM builders make their proposal and disclose their intentions to all flat owners / or in a meeting with all flat owners. Members felt that the Bye law of the SSM Maintenance Society and the Objective stated in it is to support the Builder running Maintenace and handing over maintenance to Society is as good as Builder running the Maintenance.
    8. It was decided to increase the membership of the Association by enrolling as much flat owners as possible. It was decided to welcome and enroll members from SSM Nagar Maintenance Society who are willing to join the SSMNFOA.
    9. Mr. Muthukrishnan, a member and special invitee explained the technical problems and feasibility of installing 500-watt Solar power backup to all flat owners. A proposal was put forth for swapping Solar Power backup for individual flat owner to installation of Solar Panels for all common facilities which will reduce the EB charges payable for common facilities in SSM Nagar. This needs consensus from Flat owners and also Builder.
    10. Constant follow up is being done on the legal front to fast track the implementation of RERA verdict and also quash FIR.

    Minutes of the Executive committee meeting of SSM Nagar Flat owners Association held on 03rd March 2024 [08.15 AM] at Mother Teresa Park, SSM Nagar, Alapakkam,
    Chennai – 63.

    The Secretary welcomed members to the meeting and proceedings started by 8.30 AM. Discussion was held among members present on various matters/ issues, agreed-upon plan of action and the same is listed below:-

    1. The Secretary read out the minutes of the meeting held on 11th Feb 2024 to members for approval. The Minutes of the previous meeting were approved and adopted.
    2. The appointment of Mr. Palani Kumar a practising advocate in Sadanandhapuram as Legal Advisor to the Association with a Retainer Fee of Rs.25,000/- per annum (Rupees twenty-five thousand only) is approved by the members. Rs 10,000/- would be paid in advance. Balance would be paid at the end of the Year.
    3. Members expressed their concern regarding the non-compliance of orders of TN RERA by the builder. The Secretary explained that an Execution petition has been filed and another complaint regarding pending amenities is in progress and will be filed after taking into consideration the lawyer’s opinion in our case before TN RERA. It is also decided to write a letter to CMDA and TN RERA on the continuing violations of real estate regulation law by SSM Builders and Promoters.
    4. The Secretary explained that a case has been filed in the High Court to Quash a frivolous FIR (criminal complaint) filed against the present and past office bearers of the Association. It came up for hearing and Justice N Anand Venkatesh in his order on 05/03/2024 made an initial observation that a simple and pure civil dispute between Association and the Builder has been given a criminal colour. He ordered interim stay and posted the case after six weeks.
    5. Failure of the builder to adhere to the pollution control norms and the directions issued by the SEIAA_TN is discussed and the members approved to go ahead and file a petition with NGT –South Bench to highlight the violations of Pollution Control norms by the Builder. The Secretary is hereby authorized to file a petition before the NGT-South zone and sign connected documents.
    6. It was decided to write complaints to the District Collector and other Government authorities regarding non-compliance with the TN RERA orders and violation of pollution control norms.
    7. To follow up with SRO-south to get certified copies to be done.
    8. Nirmal Eye Hospital and Jawahar Hospital have expressed interest in conducting a free eye and health checkup for residents of SSM Nagar in this Month. EC granted permission to conduct the Health camp which would benefit those residents who would like to avail the facility

    Minutes of the Executive Committee Meeting of SSM Nagar Flat Owners Association held on 14th April 2024 [5.00 PM] at Annie Besant Park, SSM Nagar, Alapakkam,
    Chennai – 63.

    The Secretary welcomed members to the meeting and proceedings started at 5.15 PM. The discussion was held among members present on various matters / issues, agreed plan of actions are listed below:-

    1. The Secretary read out the minutes of the meeting held on 3rd March 2024 to members for approval. The Minutes of the previous meeting were approved and adopted.
    2. The Secretary reviewed the compliance requirements concerning SSMNFOA with the Registrar of Societies- south. The Secretary highlighted the need to have the latest copy of the bylaws of the society. It was informed that the DRO-South office is in the process of being shifted to Tambaram. Once the DRO-South starts functioning from Tambaram efforts should be made to get a certified copy of the bylaws from the DRO office.
    3. The Stormwater drain project of Nedugundram Panchayat under construction has reached the SSM Nagar. Members expressed their concern that how the contractor used machinery to dig the canal would damage the trees on the roadside and some lamp posts. It was decided to make a representation to Katttankulathur Panchayat Union and instruct the contractor to execute the work with the least damage to trees and lamp posts.
    4. Mr. Satish one of the flat owners in SSM Nagar was bitten by a poisonous snake which had entered the parking area and hiding inside a two-wheeler. While he was taking efforts to avoid the men-reptile conflict and to protect both, the snake reacted violently. He was hospitalized for a week after the incident. EC as a special case, taking into account the risk he undertook to protect the residents from venomous snake and the pain he endured for nearly a month, has decided to pay the First aid cost, Anti Venom treatment and ambulance expenses of Rs.18000/- to Mr. Satish (from the surplus funds that we got from New year celebrations). We sincerely thank Mr Sathish and his wife who had undergone agonizing week in hospital. We also thank Mr Swaminathan for immediately taking Mr Sathish to Hospital and giving all the support at the critical hour. We request all residents not to take personal risk and inform the appropriate personnel who is authorized to handle such cases.
    5. SSMNFOA has arranged Thanner Pandal at two locations inside the SSM Nagar to quench the thrist of common people. We thank all those who had contributed towards the expenses. This will be kept open till June End.

    Minutes of the Executive Committee Meeting of SSM Nagar Flat Owners Association held on 19/05/2024 at Annie Besant Park, SSM Nagar, Alapakkam, Chennai – 63.

    The Secretary welcomed members to the meeting and proceedings started at 8;30 a.m. The discussion was held among members present on various matters/ issues, agreed plan of actions are listed below:-

    1. The Secretary read out the minutes of the meeting held on 14/04/2024 to members for approval. The Minutes of the previous meeting were approved and adopted.
    2. It is resolved to write a letter to L&T seeking an appointment with them to discuss the sad state common area maintenance which is an eyesore to everyone. The unpainted outer walls, overflowing dust bins in the parking area, Stinking STPs to mention a few are not talking anything good about the Nagar and as a result there is no appreciation of flat rates in last 10 years. Hence we seek L&Ts cooperation which has more than 800 flats under his control (and struggling to sell them even when offered at a nominal rate)to cooperate with SSMNFOA for improving the maintenance and thereby make SSM Nagar, one of the most sought-after residential Complex in Chennai.
    3. SSMNFOA EC committee place on record its appreciation for the Efforts of SSMNFOA in coordinating with Asst Engineer & contractor of the Strom water drain project in widening and deepening the existing storm water drain instead of digging a new drain which would otherwise reduce the width of the MG road and the same time saving the trees and street lights located on the road side.
    4. The underground power supply cables to Mahatma Gandhi Street lights were cut off (due to storm water drain work) and the road is pitch dark in the evening. It is decided to take up the issue with AE in-charge, contractor and Panchayat President to restore the same.
    5. It is tentatively agreed to conduct EC meeting on or before End of August 2024 and Office bearers are asked to prepare the reports to be submitted in the AGM. The Exact date will be communicated later.
    6. Meeting Concluded at 9:45 A.M.

    Minutes of the Executive Committee Meeting of SSM Nagar Flat Owners Association held on 02/06/2024 at Annie Besant Park, SSM Nagar, Alapakkam, Chennai – 63.

    The Secretary welcomed members to the meeting and proceedings started at 8:30 a.m. The discussion was held among members present on various matters/ issues, agreed plan of actions are listed below:-

    1. The Secretary read out the minutes of the meeting held on 19/05/2024 to members for approval. The Minutes of the previous meeting were approved and adopted.
    2. As there are frequent complaints from residents and the Contractor on the STP water being discharged into the under construction storm water drainage by SSM Maintenance, it is resolved to write letters to TNPCB and Member Secretary SEIAA, Tamil Nadu.
    3. It is resolved to draw the attention of state and District Adminstration on the sad state of SSM Maintenance and the health hazards posed by the quality of STP maintenance and the ground water contamination due to STP water getting discharged into open drains by the SSMBP which is running the SSM Maintenance. EC authorizes office bearers to organize for a protest in this regard after taking required permission from concerned Authorities.
    4. It is resolved to write a letter to Peerkankaranai Police Inspector on the disappearance of Assets belonging to SSM Nagar Flat Owners like 15 KVA Gensets, Street lamp posts, few electrical equipments and also the misuse of SSM Nagar resources like power and water supply being given to construction activities of SSM Builders and Promoters.
    5. It is decided consult a Senior Advocate in Madras High Court for exploring the possibility of filing a case in Madras High Court to get timely justice in addition to the existing cases in RERA and also Chengalpattu court.
    6. The meeting concluded at 9:50 AM

    Minutes of the Executive Committee Meeting of SSM Nagar Flat Owners Association held on 14/07/2024 at Annie Besant Park, SSM Nagar, Alapakkam, Chennai – 63.

    The Secretary welcomed members to the meeting and proceedings started at 8:30 a.m. The discussion was held among members present on various matters/ issues, agreed plan of actions are listed below: –

    1. The Secretary read out the minutes of the meeting held on 02/06/2024 to members for approval. The Minutes of the previous meeting were approved and adopted.
    2. As discussed in the Previous Executive committee meeting, Block wise Resident’s meetings were conducted in A-14 and B12 blocks. Execuive Committee has urged all members to conduct and complete the block wise meeting as early as possible to explain the importance and urgency for all Flat Owners to join SSMNFOA and also to understand and address the problems faced by the residents.
    3. A Sum of Rs 500/- is sanctioned to conduct Block level Residents Meeting.
    4. It is resolved to meet Chengalpet Collector to request him to take action on the Recovery warrant issued by RERA to him on the penalty imposed for non-compliance of RERA Verdict by the SSMBP and also to request the Collector to protect Kakkan Ground and stop the attempts made by local bodies to dump garbage and sewerage purpose.
    5. Members expressed serious concern on the Poor maintenance of STPs. Foul smell and discolored water from Flush Tank were reported in many blocks. The test reports of the water Samples taken by TNPCB Engineer previous month is yet to be revealed.
    6. EC condemned the Attitude of SSM Maintenance and high-handed behavior of SSM Maintenance whose staffs along with security personnel tried to threaten and stop an activity at Mother Teresa Park which was planned for the benefit of the Nagar Residents after taking permission from the Nedunkundram panchayat which has all the rights over the Park. EC place on record its gratitude to the Panchayat for supporting us as they know our SSMNFOA and its members involvement in periodic cleaning, maintaining and providing power supply and bright LED lights for benefit of all residents who are using the park. It is suggested to give a Police Complaint on the SSM Maintenance personnels behaviour, as they have no legal right on the park (which is a part of OSR & was handed over to Panchayat by Builder)
    7. It is decided to involve the Highway Asst Engineer and Storm water Drainage project Asst Engineer, Kattankulathur to finalize the alignment of joining the drainages at 150 ft road junction.
    8. Mahatma Gandhi Road Street lights were not glowing for past 2 months as the underground power cables were damaged by the Contractor while digging Storm water drainage. Now the Contractor is refusing to lay new cables. It is decided to complain the same to BDO, Asst Engineer, District Collector and CM Cell. It is to be recalled that the Street lights were brought to life by SSMNFOA after the Builder refused to supply power to Street lights as the road was handed over to Panchayat few years back
    9. It is resolved to conduct Annual General Body Meeting of our SSM Nagar Flat Owners Association on 22nd Sep 2024.

    Minutes of the Executive Committee Meeting of SSM Nagar Flat Owners Association held on 18/08/2024 at Annie Besant Park, SSM Nagar, Alapakkam, Chennai – 63.

    The Secretary welcomed members to the meeting and proceedings started at 8:30 a.m. The discussion was held among members present on various matters/ issues, agreed plan of actions are listed below: –

    1. The Secretary read out the minutes of the meeting held on 14/07/2024 to members for approval. The Minutes of the previous meeting were approved and adopted.
    2. EC members are asked to take forward the Block level meetings and complete the same in next two weeks and also identify representatives for unrepresented Blocks.
    3. EC Place on record its appreciation to all those who are involved in the Independence Day Celebration, the parents and the Children who took part in various events and showcased the Patriotism of unsung heroes who fought for Indian Independence. EC Sincerely thank our Kattankulathur Block Chairman Mrs Udhaya Karunakaran for taking part in our Independence Day Celebration as Chief Guest and Hoisting the National Flag. Her speech was motivating, especially to women and was well received by all. She also promised to solve various issues that the residents face in this fast-growing locality.
    4. EC thank the Sponsors and donors of Independence day celebration MS KUN SKODA (Rs 4000/-) , Mr Ramesh of Pencil park (Rs 1000/-) and our member Mr Rukmangatha Rajan M-1 201 (Donated Rs 5000/-) towards Independence day Celebration. With their Support, we were able to provide a Mini Tiffin for all the Participants of Independence day celebration.
    5. On this auspicious day, we also inaugurated Women’s Wing of SSMNFOA in order to bring the much-needed Women’s Power in SSMNFOA Activities.
    6. It is resolved to conduct a signature campaign among the Flat Owners and Tenants on the deteriorating quality of SSM maintenance and get the endorsement from them to improve the same by handing over the maintenance to SSM Nagar Flat Owners Association which is run by legally and democratically elected members fighting for the rights of the Flat Owners.
    7. EC has approved a Sum of Rs 50,000/- to be paid as legal fee to counter the appeal filed by SSM Builders and Promoters to stay the RERA Verdict in Honorable Madras High Court.
      This is an ideal opportunity for us to get justice in Hon Madras High Court. We have taken all necessary steps to win our case in Hon Madras High Court.
    8. EC has accepted the Resignation of Mrs Anitha, Sector 4 Secretary as she could not participate in our Meetings due to personal and professional commitments. And In her place, Mr S. Santhosh Kumar (Block C-3, 107) was unanimously elected as Sector 4 Secretary.
    9. Also, EC members Pramod A (A-13, 102) and S Krishnan (B-16 – 210) were unable to attend EC meetings and hence they were replaced by Mrs Nandini (B-4, 112) and Mr S Vasudevan (A-7, 401)
    10. The Thanner Pandal arranged to quench the thirst of General Public during Summer months was well appreciated by all and this time we also kept Plastic Tubs in the Mother Teresa Park to provide water for Birds as well.
      We have received a Donation of Rs 9650/- from our residents and incurred an expense of Rs 5110/- in the three months’ time. (Pl find attached Account Statement). Balance Amount of Rs 4540/- has been credited into SSMNFOA Account for undertaking welfare activities. This time expenses were low as we used the Thanner Pandal infrastructure created last year. EC Place on record its appreciation and gratitude to the donors and Mr Vasudevan and Mr Vijay Ranjan for their services in maintaining the Thanner Pandal during Summer.
    11. As decided in the last EC Meeting, our Annual General Body Meeting of our SSM Nagar Flat Owners Association will be held on 22nd Sep 2024 10 A.M, (Sunday). Venue finalized at RK Mahal Marriage Hall, RK Nagar (located near the South Entrance of SSM Nagar). EC has approved a sum of Rs 50,000/- to conduct the same.

    6th ANNUAL GENERAL BODY MEETING

    Minutes of the Executive Committee Meeting of SSM Nagar Flat Owners Association held on 13/10/2024 at Annie Besant Park, SSM Nagar, Alapakkam, Chennai – 63.

    The Secretary welcomed members to the meeting and proceedings started at 4.15 PM. The discussion was held among members present on various matters/ issues, agreed plan of actions are listed below:-

    1. The Secretary read out the minutes of the Annual General Body meeting to members for approval. The Minutes of the AGM were approved and adopted.
    2. EC Committee place on record its sincere appreciation to all the SSMNFOA members and managing committee for the successful conduct of the 7th Annual General Body meeting
    3. EC Committee also appreciated the timely action taken by office bearers for coordinating with MTC and installing Mini Bus Time Chart at 4 paces inside SSM Nagar to facilitate residents to utilize the public transport effectively.
    4. It is resolved to implement the Action plan discussed in AGM in a time bound manner.
    5. It is resolved to park 3 lakhs in FD as decided in AGM.
    6. It is resolved to submit the Annual Report and Audit report of our 7th AGM with SRO South within a fortnight.
    7. EC committee place on record its appreciation for the “ Navrathri celebration” conducted by our Womens Wing, first of its activity. Expenses incurred Rs 6650/- in this regard is unanimously passed.
    8. It is resolved to take up the issue of street light and condition of MG Road with local bodies to find a solution at the earliest (as the matter is pending for more than six months)
    9. It is decided to take legal advice to the implement the AGM Resolutions before we move forward.
    10. It is resolved to implement My gate (apartment facility management App) as decided in AGM at the earliest.

    Minutes of the Executive Committee Meeting of SSM Nagar Flat Owners Association held on 08/12/2024 at Annie Besant Park, SSM Nagar, Alapakkam, Chennai – 63.

    The Secretary welcomed members to the meeting and proceedings started at 8:30 AM. The discussion was held among members present on various matters/ issues, agreed plan of actions are listed below:-

    1. It is resolved to buy a First Aid kit for the benefit of SSM Nagar residents.
    2. Every day hundreds of school kids and their parents cross the 150 ft Eastern bye pass to reach the school using 2 wheelers. Motorist drive their vehicle at very high speed in 150 ft road without knowing it’s a school zone. Hence it is resolved to erect 4 barricades at a cost of Rs 40,000/- at strategic location on 150 ft road near SSM Nagar junction to avoid accidents. EC has unanimously approved the budget for the same.
    3. It is resolved to pay a sum of 1 lakh as part payment towards legal fee to Md Riyas, our High Court advocate
    4. It is resolved to conduct New Year Celebration at Mother Teresa Park to delight all residents and also foster friendly neighbourhood. The responsibility of conducting cultural events is given to Women’s wing of SSMNFOA and EC has unanimously agreed to give full support to them.
    5. It is resolved to write letters to Peerkankarani Police & Nedunkundram Panchayat to seek permission for conducting the New year events (28th, 29th and 31st Dec).
    6. EC members emphasized the importance of My gate app and urged all our members to download the same in their mobile. Members are also asked to follow the SSMNFOA Whatsapp channel created for our Association members.
